Stages

There will be different stages for the Projects and Proposals. Each stage will have different constraints and allow different actions to be taken.

Under Construction

We have not yet implemented some features related to the supervisor system and also stages, we should add info about that once we have developed them.

Project Stages

  • WAITING VALIDATION COORDINATOR
    • The coordinator can accept the project, so it will move into “WAITING VALIDATION SUPERVISOR”.
    • The coordinator can send it to “STUDENT REVIEW” with an explanation.
    • The student can modify the content of the project and the proposed supervisors.
  • STUDENT REVIEW
    • The student can delete the project.
    • The student can modify the details of the project and go back to “WAITING VALIDATION COORDINATOR”.
  • WAITING VALIDATION SUPERVISOR
    • The Supervisor System starts, notifying the first supervisor.
    • The Proposals will have their own stage system (more info in its section).
    • The Supervisors can take action on their proposals.
    • When a Supervisor accepts the proposal, the project goes to the “ACCEPTED” stage.
    • If all the proposals ended in a “REJECTED” or "NO REPLY FROM THE SUPERVISOR" stage, the stage will go back to “STUDENT REVIEW” to select new supervisors.
  • ACCEPTED
    • The student will have the information about where to find the Project Registration file and Confidential file if necessary.
  • COMPLETED
    • When the coordinators receive all the documentation needed, they can switch the stage of the Project.

Info

In any stage, the coordinators can change it back into “STUDENT REVIEW” stage. This is useful if the students need any exceptional modification like switching the type of MasterProject or changing the Supervisor even if the proposal was already accepted. It is like starting the process again, which means the coordinators and supervisors will have to validate the project again.

Proposal Stages

  • WAITING
    • The Supervisors can accept a project. The stage will change to “ACCEPTED”.
    • The Supervisors can reject a project. The stage will change to “REJECTED”.
    • The Supervisors can ask for more information to the student. The stage will change to “BEING REVIEWED”.
    • If a week passes since the first notification without a response the supervisor misses the opportunity to take the student and the system will change the stage to “NO REPLY FROM THE SUPERVISOR”.
  • REJECTED
    • The next supervisor will get notified.
    • The student will not be able to select that supervisor again.
    • If all 4 supervisors reject the project or do not reply, the student will be capable of selecting 4 more.
  • NO REPLY FROM THE SUPERVISOR
    • The next supervisor will get notified.
    • The student will not be able to select that supervisor again.
    • If all 4 supervisors reject the project or do not reply, the student will be capable of selecting 4 more.
  • ACCEPTED
    • The other proposals for the same project will change to “ASSIGNED TO ANOTHER SUPERVISOR”.
    • Also, the project stage will change to “ACCEPTED”
    • In the project, the supervisor will be the one officially assigned.
  • ASSIGNED TO ANOTHER SUPERVISOR
    • The supervisor will not have any more actions to do on the proposal.
    • The supervisor won’t see the proposal anymore.
  • BEING REVIEWED
    • The supervisor and the student will receive an email and they should discuss there all the doubts about the project.
    • The Supervisors can still accept a project. The stage will change to “ACCEPTED”.
    • The Supervisors can reject a project. The stage will change to “REJECTED”.
    • Like in “WAITING” stage, if a week passes since the first notification without a response the supervisor misses the opportunity to take the student and the system will change the stage to “NO REPLY FROM THE SUPERVISOR”.
